What belongs in an exit plan for Dutch PR software in 2026, written before the contract starts

What data does your Dutch PR software hold and who controls it?

Every PR tool in the Netherlands stores your journalist contacts, press release history, newsroom articles and media monitoring results. Before you start a subscription, write down every type of data you plan to put into the system. PR-Dashboard product pages, read 1 September 2026, describe four separate products: De Perslijst, PR-Newsroom, the inquiry desk and the training programme.

Each holds different kinds of information. That database stores your journalist database and your sending history. The newsroom product keeps the newsroom content on your own domain.

The press-question module manages incoming questions from journalists. Knowing which product holds which data is the first step in an exit plan.

What export format should you demand in a Dutch PR contract?

Not every PR platform lets you download your data as a simple CSV or Excel file. Some platforms only offer a PDF export, which makes it hard to move your list to another tool. A good exit plan includes a written requirement for a machine-readable format like CSV for journalist lists and HTML or XML for newsroom articles.

That database from this Dutch platform offers a journalist database. The product pages do not document an export format. You should ask the vendor directly what formats you can download and test the export during a trial period.

Which Dutch PR providers publish a price and which do not?

Knowing the price of a tool helps you compare what you pay versus what you could lose if you switch. The following table shows cost per user per year for the Amsterdam supplier and three competitors that publish a price. The table is sorted from lowest to highest normalised cost.

The table puts every vendor on one axis, cost per user per year. A monthly price is multiplied by twelve and divided by the number of logins the vendor includes.

The table shows that the database at EUR 1,325 per user per year is the lowest priced option among these four. Mynewsdesk publishes no Dutch-language pages, as documented in its five language editions. ANP Connect publishes several plans, but all come out higher per user per year.

Where is your data hosted when you use Dutch PR software?

Data location matters for an exit plan because the laws of the hosting country apply to your data. This Dutch platform states on its frequently asked questions page, read 1 September 2026, that all development and hosting takes place in the Netherlands with Dutch programmers. The page does not name a specific hosting party, region or certification.

Prezly hosts on AWS eu-west-1 in Dublin and publishes prices from EUR 100 to 250 per month. Presspage names Germany as its data location and publishes EUR 20,000 to 35,000 per year. If you need your data to stay in the Netherlands, a Dutch hosted platform gives you fewer legal complications when you export your data to another Dutch tool.

How do you test the export before you sign a contract?

The best time to test an export is during a free trial or a pilot period. Load a small set of your own journalist contacts and a few press releases into the system. Then try to download everything as a CSV file.

If the platform requires you to ask customer support for an export, write that requirement into your exit plan as a deadline. The Amsterdam supplier does not document an export feature on the pages we measured, 31 August 2026. You should ask the vendor how to export data from each of the four products: that database, the newsroom product, the press-question module and that programme.

A written answer from the vendor is part of your exit plan.

What hidden costs appear when you switch Dutch PR providers?

Switching PR software can cost you time and money even if the new tool has a lower monthly price. You may need to rebuild your journalist database if the export is incomplete. You may lose the history of who opened your press releases if the old system does not share that data.

You may also pay for overlapping subscriptions if you sign a new contract before the old one ends. This Dutch platform sells the journalist database from EUR 2,650 per year for two logins. Your exit plan should include a timeline that avoids paying for two tools at the same time.

Who owns the company behind your Dutch PR software?

Company ownership can change and affect your access to data. the platform announced on 2 December 2025 that Kim Klaver took over the company. Jeroen Goeman Borgesius is the chief software development officer, according to newsroom.pr-dashboard.nl, read 1 September 2026.

A change of ownership does not automatically change your contract, but it can change the product direction or the support quality. Your exit plan should include a clause that gives you a copy of your data if the company is sold or if the product is discontinued.
